How the Referral Process Works: Step by Step
Referring a patient to Better Health Whole Wellness Center is straightforward. Patients do not need a formal referral — they can reach out directly and introduce our team to their provider, or you can contact us directly to discuss a patient’s candidacy. Once a patient is accepted, here is what happens:
- We complete a Physical Examination covered by most commercial insurance
- We connect directly with your practice to review the patient’s history and establish a collaborative care plan
- Treatment begins — typically within one week of the initial consultation
- We share regular PHQ-9 progress updates with your team throughout the treatment series
- We coordinate with you on booster sessions, maintenance scheduling, and any clinical concerns

Referring Provider FAQ – Frequently Asked Questions From Clinicians
We primarily treat adults and adolescents (14+) with Major Depressive Disorder, treatment-resistant depression, and the depressive phase of Bipolar I and II. We also support patients managing PTSD, trauma, anxiety co-occurring with depression, postpartum depression, and suicidal ideation. Most of our patients come to us through their mental health providers, but a formal referral is not required to begin care. We welcome individuals who are already established with a therapist or psychiatric provider, as well as those who are not currently in treatment. For patients without an existing care team, we can help guide next steps and coordinate support as needed. If you do have a provider, we encourage collaboration — our clinicians are happy to connect directly with your care team to ensure a thoughtful, coordinated approach.
No formal referral is required. Patients can reach out to us directly and introduce our team to their existing providers. However, we are always happy to receive direct provider referrals and will connect with your practice before treatment begins to review the patient’s history and establish a collaborative care plan. Many providers find it helpful to contact us first to discuss a patient’s candidacy before making the introduction.
Communication is central to our model. Before treatment begins, one of our clinicians will connect directly with your practice to review the patient’s history and confirm a shared care plan. Throughout treatment we share regular PHQ-9 progress reports, and we maintain open communication via phone, email, and secure updates. We will contact you immediately if any clinical concerns arise. Our goal is to function as a seamless, trusted extension of your team — not a separate silo.
IV ketamine is given intravenously and provides very precise control over dosing. Spravato® (esketamine) is an FDA-approved nasal spray treatment for patients, and it is often covered by insurance, making it more affordable for many people. Our clinical team chooses the best option based on each patient’s diagnosis, treatment history, insurance coverage, and overall clinical needs.
We recommend letting your patient know a few things before they reach out to us. First, that both IV ketamine therapy and Spravato® are evidence-based options and our team will help them understand which is the better fit during their initial consultation. Second, that their physical examination to determine candidacy is covered by most commercial insurance plans, making it easy to take that first step. A formal referral is not required — patients are welcome to contact us directly, and we also welcome those who may not currently have an active care team. If your patient does not have existing support, we can help coordinate next steps. If they are established with you or another provider, we encourage collaboration and our clinicians are happy to connect directly with their care team to ensure a coordinated approach.
